MWS Workdesk Privacy Policy

1. Scope

This policy describes information handled through MWS Workdesk, the private business application operated by Metering and Weighing Specialists ("MWS"). It covers the app and its QuickBooks connection. It does not describe all data collection on the separate MWS marketing website or on third-party services.

2. Information the App Handles

Depending on how authorized users use Workdesk, information may include:

Sign-in information supplied by the authentication service, such as a user identifier, name, and email address.

Customer and vendor names, contact details, addresses, and business notes.

Work-order details, equipment information, purchase-order references, schedules, technician names, time records, parts, rates, and invoice-preparation details.

Uploaded job photos and documents.

QuickBooks company identifiers, authorization tokens, and company, customer, and vendor information retrieved through an authorized connection.

Technical information processed by hosting and authentication providers, such as request logs, IP addresses, browser information, and error information.

Workdesk does not ask users to enter their QuickBooks password into the app. QuickBooks authorization takes place through Intuit.

3. How Information Is Used

Information is used to operate Workdesk, authenticate authorized users, maintain business records, organize jobs, prepare billing information, retrieve approved QuickBooks records, and diagnose technical problems.

The current app does not include a live AI integration, send email, create or send QuickBooks invoices, or process payments.

4. QuickBooks Access

An authorized user chooses whether to connect a QuickBooks company. Workdesk stores authorization tokens so it can maintain and refresh that connection.

The app allows users to verify the company and preview customer or vendor records before importing selected contacts. Sandbox records are test data and should not be used as real customer records.

Using Disconnect in Workdesk requests revocation of the connection and, after successful revocation, removes the saved connection tokens. Previously imported contacts and other saved business records remain until separately deleted.

5. Service Providers and Disclosure

Workdesk uses OpenAI's Sites platform and associated Cloudflare hosting and storage services. Intuit processes information involved in the QuickBooks connection. These providers handle information necessary to deliver their respective services, subject to their applicable terms and policies.

Information may also be disclosed when required by applicable law or as necessary to investigate misuse or protect the security of the service.

The current Workdesk application contains no advertising integration or feature for selling personal information.

6. Storage and Security

Workdesk restricts access through authentication and app access controls. QuickBooks authorization tokens are encrypted in application storage.

No service can guarantee absolute security. Users should protect their sign-in accounts and avoid uploading passwords, full payment-card details, or unrelated sensitive personal information.

7. Retention

Workdesk saves business records persistently rather than automatically deleting them after each session. Disconnecting QuickBooks does not delete imported records.

Retention and deletion requests are reviewed according to the purpose of the records and applicable business and legal requirements. Deletion from the app may not immediately remove copies retained in provider backups or operational logs under those providers' retention practices.

8. Access, Correction, and Deletion Requests

To request access to, correction of, export of, or deletion of information about you, email [email protected]. Identify the information involved, but do not email passwords or other unnecessary sensitive information.

MWS may need to verify your identity and authority before acting. Any applicable legal rights remain available, and some records may need to be retained for lawful business or legal purposes.

9. Cookies and Sign-In Technologies

Hosting and sign-in providers may use cookies or similar technologies to maintain authenticated sessions and operate their services. Their own policies describe their handling of those technologies.

10. Intended Users

Workdesk is intended for authorized business use and is not directed to children.

11. Changes

This policy will be updated as Workdesk's information-handling practices change. Material changes will be communicated to authorized users. The date above identifies the latest revision.
